FAQ

Find the most frequently asked questions below.
  • Businesses, non-profit organizations, community groups, service clubs, and government organizations are all welcome to sponsor Ability Hive Accessible Halloween.

  • No. To preserve the spirit of the event, on-site sales are not permitted.

Ability Hive Accessible Halloween is designed to feel like a Halloween trick-or-treat village—a welcoming community experience where families can explore, interact with sponsors, and enjoy the festivities without feeling like they're attending a trade show or sales event.

    You're welcome to:

    • Display information about your business or organization
    • Have business cards, brochures, or promotional materials available for attendees to take
    • Engage with visitors and answer questions

However, we ask that no products or services be sold during the event.

Our goal is to create an unforgettable Halloween experience where the focus remains on fun, inclusion, and community.

  • Decorating is highly encouraged to create a fun and memorable Halloween experience for attendees.

  • This is a not-for-profit community event. Your sponsorship helps fund the many elements that make this event possible, including Halloween decorations, candy, sensory-friendly fidgets, accessibility accommodations, signage, event equipment, volunteers, and much more.

  • Ability Hive Accessible Halloween is a rain or shine event, and we fully intend to proceed in typical fall weather, including light rain.

However, the safety of our attendees, volunteers, sponsors, and staff is our highest priority. In the event of severe weather—including heavy rain, thunderstorms, high winds, or other conditions that could make the event unsafe—we may be forced to cancel the event.

As this is a not-for-profit community event, sponsorship funds are used in advance to cover event planning, supplies, accessibility features, decorations, and other event expenses. For this reason, sponsorship fees are non-refundable in the event of a cancellation due to severe weather or other circumstances beyond the organizers' control.

Any decision to cancel the event will be communicated as early as possible through our website and official social media channels.

  • Yes! Admission is completely free for all attendees thanks to the generosity of our sponsors and community partners.

  • Absolutely—we encourage it!

Halloween is all about fun, imagination, and creating memorable experiences. We love seeing sponsors get into the Halloween spirit by decorating their booth, dressing in costumes, or bringing family-friendly mascots or characters.

The more interactive and engaging your booth, the more magical the experience becomes for our attendees.

We simply ask that all costumes, characters, and activities remain family-friendly, inclusive, and appropriate for guests of all ages and abilities.

  • To help keep the event fun, accessible, and focused on trick-or-treating, we kindly ask that promotional materials remain optional. If someone is interested in learning more about your business, they're welcome to stop by your table and take what interests them, rather than being handed promotional materials as they trick-or-treat.

Our goal is to create a relaxed, enjoyable experience that isn't overwhelming for attendees while still providing sponsors with meaningful opportunities to connect with the community.

  • Candy and sensory-friendly fidgets are supplied for all participating Presenting, Gold, and Silver sponsor booths. Simply bring your team, decorate your booth, and enjoy interacting with attendees.

  • No. Sponsors are responsible for bringing their own tent, table, chairs, and any booth decorations or displays.

Please ensure all tents and displays are safely secured and suitable for outdoor use.

  • Absolutely!

We welcome in-kind partnerships from businesses and organizations that wish to contribute products, services, equipment, expertise, or other resources that help bring Ability Hive Accessible Halloween to life.

    Examples may include:

    • Storage facilities
    • Printing and signage
    • Accessibility services
    • Equipment rentals
    • Decorations
    • Entertainment
    • Professional services
    • Event supplies

Community Partners receive recognition based on the nature and value of their contribution. If you'd like to discuss how your organization can help, we'd love to hear from you.
